Privacy Notice

About this document
Version 3.0-draft · Review due 9 December 2026

Working draft for legal/compliance review before publication.

Invictus at Home Ltd, trading as Invictus Utilities, takes the privacy of customers, business contacts and website visitors seriously. This notice explains what information we use, why we use it, who we may share it with and the choices and rights available to you.

Who is responsible for your information?

Invictus at Home Ltd is responsible for personal information handled by Invictus Utilities where we decide how and why that information is used. Our registered office is Enterprise House, Tenlons Road, Nuneaton, Warwickshire, England, CV10 7HR.

What information might we use?

This depends on what you ask us to do. It can include your name and contact details, your role at a business, business and premises details, service requirements, correspondence, account information, information shown on bills or invoices you choose to send us, authority or Letter of Authority records, quote and contract information, support records, website/security information and your communication or marketing preferences.

Please do not send us information we have not asked for. Bills and other customer documents can contain personal information, so the new platform is designed to keep private customer documents outside the public WordPress media library.

Why do we use information?

We use information to answer enquiries, provide or arrange requested services, work with relevant suppliers or partners, manage customer relationships, keep records of authority and decisions, provide support, meet legal and regulatory duties, prevent fraud and protect our systems. Where appropriate, processing may be necessary to take steps at your request before a contract, perform a contract, meet a legal obligation or support our legitimate business interests. Where the law requires consent, we will ask for it separately.

Service partners and specialist businesses

Some services are delivered, supplied or arranged with other organisations. We will make the relevant relationship clear before information is passed on. Water and waste enquiries may involve Everflow. Insurance enquiries are handled through the relevant insurance partner rather than Invictus Utilities providing insurance itself. Telecoms enquiries may be handed to In Telecoms. Other providers may apply to other services and will be identified where appropriate.

Marketing

Marketing choices are separate from asking us for a quote or service. We will respect your communication choices and any right to object to direct marketing. Where consent is required, it will not be hidden inside an authority, contract or general acceptance box.

How long do we keep information?

We keep information only for as long as it is needed for the purpose for which it was collected, to manage a service or relationship, meet legal, accounting or regulatory requirements, resolve disputes and maintain appropriate audit evidence. The detailed retention schedule is controlled internally and varies by record type.

Security

We use organisational and technical measures designed to protect information. Access is limited according to role and need. Customer-specific bills, signed authorities, quotes and contracts are intended to be held in the secure customer platform/document store rather than as public website files.

Your rights

Depending on the circumstances, UK data protection law may give you rights to ask for access to your personal information, correction, erasure, restriction, portability or to object to certain processing. You may also withdraw consent where consent is the basis being relied on. Some rights are subject to legal conditions and exceptions.

Cookies and analytics

Our Cookie Policy explains the technologies used on the website and the choices available to you. Non-essential technologies should only be used in line with the choices required by applicable law.

Questions or complaints

Please contact Invictus Utilities if you have a privacy question or want to exercise a data protection right. You also have the right to complain to the Information Commissioner’s Office if you are unhappy with how personal information has been handled.

Changes to this notice

We version-control this notice. The current approved version and effective date will be shown at the top of the published document. Older versions are retained as controlled records where appropriate.
